Birchgrove Clinic Pty Ltd (ABN 44 696 521 874) (“Birchgrove”, “we”, “us”) is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

What we collect

We collect personal and health information necessary to provide our telehealth services, including:

  • Name, date of birth, and contact details (email, phone, address)
  • Medicare number and healthcare identifiers
  • Health and medical information provided during intake screening and consultations
  • Prescription and medication history, including information obtained via QScript and similar monitoring systems
  • Payment information (processed securely by our third-party payment provider — we do not store card details)

Why we collect it

We collect your information to provide you with a health service, including clinical assessment, diagnosis, treatment, prescribing, and ongoing care. We may also use your information to communicate with you about appointments, send reminders, comply with legal and regulatory obligations, and improve our services.

How we store and protect it

Your information is stored on secure servers located in Australia. We take reasonable steps to protect your information from misuse, interference, loss, and unauthorised access, modification, or disclosure.

Who we share it with

We may share your personal information with:

  • Your nominated GP or other treating health professionals, with your consent
  • Pathology or other diagnostic providers as required for your care
  • Government agencies and regulatory bodies where required by law (e.g. Medicare, state health authorities, QScript)
  • Our technology service providers who assist in delivering our services (e.g. hosting, SMS, analytics), under strict confidentiality obligations

We do not sell your personal information. We do not disclose your information overseas unless we notify you and obtain your consent, or are required by law.

Retention and deletion

We are required by law to retain clinical and medical records for minimum periods as set by Commonwealth and state legislation, professional standards, and medical record-keeping obligations. This includes records of consultations, clinical decisions, prescribing history, and regulatory checks. These records cannot be deleted on request.

Non-clinical information — such as your email address, phone number, and marketing preferences — can be deleted on request where we are not otherwise required by law to retain it.

Accessing and correcting your information

You can request access to the personal information we hold about you, or ask us to correct any inaccurate information, by contacting us at the details below. We will respond to your request within a reasonable timeframe.

Complaints

If you believe we have breached the Australian Privacy Principles, you can make a complaint by contacting us. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
